Actions: action plans, follow-up and impact

How to create plans and actions, who can do what, how to follow them up and how their impact is measured.

Written by Product Team

The Actions section turns what your people tell you into concrete steps. You decide what you want to improve, who is in charge, by when, and which indicators you want to impact. Once the action is closed, Happyforce measures how those indicators evolve.

Plans and actions: how they are organized

  • Action plan: the goal you want to improve (for example, “Increase eNPS” or “Improve engagement Q2”). It groups the actions that help you achieve it and shows the overall progress.

  • Action: a concrete step within a plan (for example, “Monthly 1:1 with each team member”). It has owners, a due date and impact indicators.

Every action belongs to a plan.

Expand a plan to see its actions, owners, due dates and status:

What each role can do

  • Admins

Create and edit plans, create actions and assign them to one or more owners, use the AI suggestions and can edit any action. In the impact view they can choose to see company-wide data or the data for a specific owner’s team.

  • Managers

They own the actions assigned to them: they move their part forward, add notes and see how the impact evolves. They can also see public plans.

A plan’s actions are managed by whoever created the plan (or an admin).

How to create a plan

Click New plan and start with the what:

  • What do you want to improve?: the title of the goal.

  • The goal, in detail: the context and what you want to achieve.

  • Plan visibility: Private (only admins and the plan’s creator) or Public (all admins and managers in the company).

Then add the actions inside the plan.

How to create an action

Actions are always created inside a plan. In the plan, click + Action (or Add the first action if it’s still empty). A wizard guides you through these steps:

  1. What & how

Enter what you are going to do, how you are going to do it and the due date (it can’t be earlier than today).

  2. Scope

Choose the responsibles (at least one). If you want, narrow the audience by areas, groups or segments. If you leave it blank, the action targets the whole company.

  3. Impact

Choose the indicators you want to measure: score, factor, question, eNPS, Happiness Index (or Wellbeing Index). You’ll see the latest measured value and can set a target value. Indicators can’t be changed after the action is created.

  4. Summary

Review how the action contributes to the plan and click Create action.

An action can’t be moved to another plan after it’s created.

Help deciding what to do

  • Create plan with AI

AI analyzes the measurement for the period you choose (the whole company or a team) and proposes a plan with actions. You can add context, edit the plan and choose which actions to include. Nothing is created until you review each action in the wizard and confirm.

  • Suggest an action with AI

In each plan, the sparkle icon (next to + Action) opens action suggestions for that plan, generated from your metrics and with the reasoning behind each one. You can narrow by team and dates and add context. If you turn on Doable with Happyforce tools, AI recommends which feature to use (check-in, conversation, survey or recognition) with ready-to-copy content.

  • From Engagement and from ideas

In Engagement, the Act with AI button turns negative insights into a plan. In your employees’ ideas, Transform into action with AI creates a plan from that idea.

Everything AI proposes is a starting point: review and adjust it before saving.

Follow-up: statuses and notes

Each action goes through these statuses:

  • Pending approval: proposed, waiting for its plan to be approved.

  • Draft: created, but not started yet.

  • In progress: being carried out and on time.

  • Completed, Partially completed or Failed: how it was closed.

  • Expired: passed its due date without being closed.

  • Not applicable: it won’t be carried out.

If an action has several owners, each one closes their own part. You’ll see the progress (“2 of 3 people completed”) and the action is considered closed when everyone is done. Once your part is closed, you can no longer edit it.

In the action notes you can note what happened, blockers or learnings. Private notes are only visible to you; shared notes are visible to all owners. When the action is closed, the notes become read-only.

The Needs attention panel flags overdue actions, actions due this week and actions without owners. Click a row to filter the list.

Measuring impact

When all owners have closed the action, Happyforce starts measuring how its indicators evolve over a few weeks (up to about 60 days). In the detail view you’ll see:

  • At creation: the starting value.

  • At closure: the value when the action was closed.

  • Latest reading: the most recent value in the follow-up.

  • Attributed change: the change once the company’s overall trend is factored out.

  • A trend (positive, no significant change or negative), an AI-generated summary and, if it doesn’t improve, possible causes.

Keep in mind this is correlation, not causation: the action isn’t necessarily the only reason for the change. If you see the Few responses label, interpret the result with caution.

Export

You can download an action, a plan or everything to Excel. The file is sent to your email within a few seconds.

FAQ

  1. I can’t see the Actions section. Why?

The section is enabled per company. Message us in the chat and we’ll look into it.

  2. Can I change the indicators or the plan of an action that’s already been created?

No. To keep impact measurement reliable, indicators and the plan are fixed once the action is created. If you need different ones, create a new action.

  3. Why can’t I edit an action?

Only the creator of the plan it belongs to and admins can edit it. Also, a closed action can no longer be edited.

  4. A manager doesn’t show up as a possible owner

The owner list adapts to the audience you choose. If you narrow it by area, group or segment, you’ll only see people who match that filter.

  5. I closed the action and can’t see the impact

Measurement starts once all owners have closed their part, and it needs new responses. Check back in a few days.
